Setup Instructions
Note: You must have understanding of managing Objects, Page Layouts, Lightning Pages, Access & Permission setup prior setting up Content Plus. System Admin permissions are a requisite. We will be glad to scope your Content Plus implementation along with providing best process consulting. Please send an email to sales@veditechnologies.net if you need assistance.
Let's review the Content Plus setup using a sample business case.
Content Additional Info: Capture Income Proof, Identity Proof and Photo for Contacts.
Content Visibility: Documents uploaded on Contact should be visible on related Account and Content Library "Content Plus - Contact Files".
Content Automation: Contact Photo and most recent provided Bank Statement should be available on Contact Record.
Reporting: Report on Contacts who have submitted Bank Statements or not.
All our business requirements can be addressed by out of box features in Content Plus.
Let's install Content Plus application in Salesforce.com.
Go to Setup -> Object Manager -> Contact -> Field & Relationships -> New
Create below four fields on Contact Object.
Income Proof Document Id (Text 80, API Name: Income_Proof_Document_Id)
Description: Content plus data automation will update this field with document Id of Income proof.
Has Income Proof (Formula, Checkbox)
Formula Value: NOT(ISBLANK( Income_Proof_Document_Id__c ))
Photo Document Id (Text 80, API Name: Photo_Document_Id)
Description: Content plus data automation will update this field with document Id of Contact Photo.
Photo (Formula, Text) To show content photo on Contact detail page layout.
Formula Value: IMAGE("Your Salesforce Domain URL"+"
/sfc/servlet.shepherd/document/download/"& Photo_Document_Id__c , "Contact Photo")
Go to Setup -> Object Manager -> Contact -> Page Layouts -> Choose Layout to Edit
Update the Contact Page Layout(s) to add Content Plus lightning global actions.
Content Plus Upload : For uploading new Content
Content Plus Manage : For updating existing Content and to convert regular content into Content Plus.
This step is optional as once you add Content Plus lightning component to Contact lightning record page, above actions are included within Content Plus lightning component.
Go to Setup -> Object Manager -> Contact -> Lightning Record Pages -> Choose Page to Edit
Update Contact Lightning Record Page to add Content Plus lightning component "ContentPlusList".
The component can be added to any section as per your choice. In our example, we have created a sub-tab "Content Plus" to include the component.
Repeat the same steps to add "ContentPlusList" lightning component on Account object's Lightning Record Page.
Go to Setup -> Object Manager -> Content Version -> Fields & Relationships
Create two new picklist field on Content Version object.
Category - Picklist
Document Type - Picklist
Let's get creative. Create a field dependency between both the picklists where Category will be the Controlling Field and Document Type would be the Dependent Field.
*Please refer screenshot for options on picklist fields.
Go to Setup -> Object Manager -> Content Version -> Field Sets -> New
Field Set Label: Contact - Content Version Fields
Field Set Name: Contact_Content_Version_Fields
Description: Provide useful description here
Click Save.
Add Category, Document Type and Description fields on FieldSet. Refer related screenshot. Copy the API name of field-set, it will be used later on in settings.
Go to Setup -> Custom Metadata Types -> Content Plus FieldSet Mapping -> Manage Records -> New
Label: Contact - Content Plus
Field Set API Name: Contact_Content_Version_Fields
Process Object Key: Contact
Default Library Name: Content Plus - Contact Files
Default Library Content Visibility: AllUsers
Related Record Field API 1: AccountId
Here, we will provide the mappings of the Target object (Contact) with Content Plus. It will determine whether we need to save the content in Content Libraries or whether to auto associate Content content on related Account.
Please refer the help link in front of each fields to know more about their functionalities.
Go to Setup -> Custom Metadata Types -> Content Plus General Setup -> Manage Records -> Edit
Value: Category__c
In this step, you are providing Content Plus information to be used to auto manage a "key" for each uploaded content. This "key" then is used to determine type of content to service data automations in further steps.
In our example the "key" will be like "Content:Income Proof". The first part of "key" will always be related object API Name. In case if related object has Record Types, the "key" first part will be "Object API Name"__"Record Type Developer Name".
Go to Setup -> Custom Metadata Types -> Content Plus Linked Record Update Map -> Manage Records -> New
Create 2 mappings here. One for updating Contact.Photo_Document_Id__c and other for updating Contact.Income_Proof_Id__c.
